01 — The product, from inside the work

Hands-on pilot participant. Signed the validation report and the production authorization.
Our R&D team used to be buried in supplier documents. Every raw material qualification meant opening PDF files, retyping information into our systems, comparing data across multiple files, chasing inconsistencies. It was repetitive, time-consuming work, and despite everyone's best efforts, we always seemed to be playing catch-up.
I used Elara during its pilot trial to assure that I understand first-hand how it works and how it can improve our processes. The critical feature that proved its value was the manner it handled complex conflicting information across technical documents. Instead of simply choosing one value, it explained discrepancies, identified which document it considered the more reliable source and why, and clearly showed the reasoning behind its decision. That level of detail and direct communication made it feel like I was working with a technical analyst. It allowed us to shift from data entry to decision-making.
The pilot trial was a validation exercise for us, with acceptance criteria agreed upon before we processed a single document. The results spoke for themselves: 99.3% accuracy across 140 of our supplier documents. Accepting and qualifying the material was the easiest part of the decision-making process.
02 — The vendor, from the decision seat

Director of Operations

Owned project approval, security, and the production go-ahead.
As Director of Operations, I was responsible for evaluating Elara, securing internal approval for the project, and ensuring it was the right solution for our organization. My involvement centered on implementation planning, security, and making sure the system would integrate seamlessly with our existing processes and our outsourced IT provider.
From the start, Smart-Suited Tech clearly defined the project scope, timeline, and costs, making expectations easy to understand. Throughout development, communication was outstanding, with regular updates, milestone reviews, and complete transparency on project progress.
What impressed me most was Tom's ability to explain complex technical concepts in a way that both our business team and IT partners could understand. He took the time to address every question, ensuring we were confident in both the security and architecture of the solution. When I required all data processing to remain within the US, Tom reworked the system configuration around that constraint on schedule and without friction.
Smart-Suited Tech delivered more than just software, they became a trusted partner who genuinely cared about our success. I would highly recommend them to any organization looking for an experienced, professional AI development team.
03 — The founder's technical breadth

On working with founder Tomasz Kaczorowski through the pilot.
It was a pleasure to work with Tom on Elara's Pilot validation project.
Tom demonstrates a very strong and unique interdisciplinary understanding of technical fields that proved critical in building Elara. His strong background in chemistry, coupled with regulatory expertise and engineering skills, allowed him to build Elara and customize it to our own R&D. I have worked with many technical experts, and it is rare to find someone like Tom who combines deep scientific knowledge, regulatory expertise, engineering capability in a single individual, while also possessing excellent analytical and communication skills.
The pilot ran with the rigor of a Six Sigma validation process. Acceptance criteria were defined before development began, every result was traceable to its source, and everything was backed by evidence.
The Elara our team received is easy-to-use, intuitive, and clearly designed with the user in mind. But what impressed me most was everything delivered beyond the original scope. We expected document extraction; instead, Elara reasons across multiple documents, identifies inconsistencies, and answers questions we never thought to include in the requirements.
By the end of the project, it didn't feel like the software was built by an outside vendor. It felt like it was developed by someone who truly understood how our organization works.
